Idea Management

In one sentence: Staff suggest improvements, and the Ideas Officer decides on them and tracks them until they are put into practice. Menu: Reporting module → tab Idea Management · Status: Live

What it is

The people doing the work often know best how to do it better. Idea Management is the unit's digital suggestion box. Anyone can post an idea, describe its benefit, and say who it would help.

The Ideas Officer reviews each idea, decides whether it will be implemented, and turns it into work with To-Dos and guides. If an "idea" is really a personal wish or concern, the officer can move it to Employee Feedback instead.

This page adds the idea details to the general Incident Reports page.

Key terms

Who uses it

Role What they typically do here
Professional, Management, Power User Post ideas and read the ideas of the unit.
Power User Appoints the unit's Ideas Officer (unit levels); processes and requalifies ideas at unit level; at Unit without insight level can also switch Idea Management on and choose the level.

How it works

New Idea → In Process → Implemented

Column What it means What moves it on
New Idea Posted, not yet reviewed. The officer takes it up and drags it to In Process.
In Process Being assessed or implemented (To-Dos, guides). Finished: drag to Implemented.
Implemented Closed, with the officer's Decision. Can be dragged back to In Process.

The form asks for: - Send anonymously (optional). - Idea Title and Description (both required). - Benefit, Target Group, feasibility and resource requirements, keywords, attachments.

How to …

How to post an idea

Who can do this: Everyone except the RiQS Administrator. 1. Open Reporting module and click Idea Management. 2. Click the create button. 3. Fill in Idea Title and Description. Add the benefit and target group if you can. 4. Switch on Send anonymously if you wish. 5. Click Report.

Result: The idea appears in New Idea. Other users of the unit can see it.

How to requalify an idea as employee feedback

Who can do this: See "Requalify" in the table below. 1. Find the idea card on the board. 2. Switch on Feedback on the card.

Result: The card moves to the Employee Feedback board, in the matching column. It becomes visible to officers only. The person who posted it gets an email.

How to record a decision

Who can do this: See "Process" in the table below. 1. Open the idea and set the Decision (implemented or not implemented). Save. 2. Drag the card to Implemented when it is finished.

Result: The idea is closed with its decision.

Rules to know

  • Ideas are visible to the whole unit by default (except in units without insight, where Group Administrators and Administrators do not see them).
  • The Feedback switch on the card is the only way to move a report to another board. The app offers no way to move it back.
  • Ideas cannot be copied.
  • Only the Ideas Officer (and, at Organizational level, the Group Administrator and Administrator) can deactivate ideas. The RiQS Administrator cannot process or deactivate ideas.
  • Delete. In audit-safe mode, only the RiQS Administrator can delete an idea. Outside audit-safe mode, at Organizational level the Group Administrator, Administrator and Ideas Officer can also delete.

Open questions

  • Rights sheet vs feature list. The Roles & Rights sheet (used on this page) and the feature list disagree on ideas. Please confirm the sheet is right:
  • Switching on and choosing the level at Unit without insight: the sheet also allows the Power User; the feature list does not.
  • Creating at Unit without insight: the sheet lets Group Administrators and Administrators post ideas; the feature list does not.
  • Processing at unit level: the sheet lets Group Administrators and Administrators process ideas; the feature list does not.
  • Deactivating: the sheet gives it to the officer (plus Group Administrator and Administrator at organisation level); the feature list also gives it to the RiQS Administrator and, at unit level, to the Power User.
  • Inactive ideas: the sheet hides them from Professionals; the feature list shows them.
  • Deleting outside audit-safe mode: the sheet also allows Group Administrator, Administrator and officer at organisation level; the feature list allows only the RiQS Administrator.
  • Copy. There is a title for "duplicate idea", but copying is only offered for CIRS. Is copying ideas planned?
